Travel Agreement

By booking your travel through our agency, you agree to all the terms and conditions set forth in this Travel Agreement. This agreement governs your relationship with us and covers all travel-related services, including flights, accommodations, tours, and more. The details of your travel services will be outlined in your booking confirmation and invoice.

Validity

The dates, itineraries, and prices for our travel services are valid from —– through —–. All services are subject to availability and may change without notice.

Deposit Requirements

To secure your booking, a non-refundable deposit of 20% per person is required. If your booking is made within 30 days of your departure, full payment is due at the time of booking. Some bookings may require a higher deposit; these details will be provided at the time of booking.

Acceptance of Booking and Final Payments

Once your booking is confirmed, we will issue an invoice to finalize your reservation. This invoice represents the formal contract between you and us, effective from the date of issue.

The balance of your payment is due 31 days before your departure. Failure to pay the balance by the due date may result in the cancellation of your booking, and applicable cancellation fees may apply.

Required Information

To confirm your travel arrangements, you will need to provide all necessary documentation and information. This includes your full legal name as it appears on your passport, nationality, passport number, date of birth, and any medical conditions that could impact your travel plans.

Cancellation by You

If you need to cancel your booking, cancellation fees will apply. Written notification is required for all cancellations, and the following fees will be retained:

  • 46 days or more before departure: Non-refundable deposit.
  • 30 to 45 days before departure: Non-refundable deposit or 50% of the total booking cost, whichever is greater.
  • Less than 30 days before departure: 100% of the total booking cost.

Certain bookings may incur a 100% cancellation fee as soon as the booking is confirmed. Please request full details on cancellation charges at the time of booking. No refunds will be issued for unused services after the trip has commenced.

Cancellation by Us

We reserve the right to cancel any trip up to 28 days before departure due to unforeseen circumstances, including terrorism, natural disasters, political instability, or other events beyond our control. If we cancel your trip, you will have the option to transfer your payment to an alternate departure date or receive a full refund. Refunds will exclude any unrecoverable costs, and we are not responsible for any incidental expenses such as visas, vaccinations, or non-refundable flights.

Amendments to Your Booking

If you wish to transfer your booking to another trip or a third party, you must notify us at least 31 days before departure. A fee of $50 per person will apply, along with any additional charges from airlines, hotels, or other service providers. Changes requested less than 30 days before departure will be treated as cancellations and subject to the relevant cancellation fees.

For any other changes to your booking, a $25 administration fee per change will apply in addition to any supplier charges. No changes are allowed within 7 days of departure.

Prices and Currency Fluctuations

Our trip prices are based on currency exchange rates as of —–. We reserve the right to impose surcharges up to 31 days before departure due to changes in exchange rates, airfare increases, or other costs. In such cases, we will absorb 50% of the additional cost, and you will be responsible for the remainder.

Age and Health Requirements

The minimum age for most of our trips is 14 years old, with a responsible adult accompanying all travelers under 14. While there is no upper age limit for most trips, some itineraries may require a certain level of physical fitness. We can provide general health requirements, but please consult your doctor for personalized advice.

Passports and Visas

You are responsible for carrying a valid passport and any required travel documents during your trip. Your passport must remain valid for at least six months beyond your return date.

Travel Insurance

Comprehensive travel insurance is mandatory and must be obtained at the time of booking. Your insurance should cover personal accident, death, medical expenses, and emergency repatriation, with a recommended minimum coverage of $100,000. Proof of insurance must be provided before your trip. Additional coverage for trip cancellations, lost luggage, and personal liability is also highly recommended.

Flexibility and Changes to Itinerary

Travel can be unpredictable, and flexibility is key. The itineraries provided for your trip represent the planned activities but are subject to change based on local conditions and unforeseen events. We reserve the right to alter the itinerary before or after departure as necessary. In such cases, any additional costs will be your responsibility.

Limitation of Liability

Our agency works with a network of third-party suppliers to provide your travel services. As we act only as an intermediary, we cannot be held responsible for the actions or omissions of these third parties. To the fullest extent permitted by law, we exclude liability for any loss, injury, or damage you may experience in connection with your trip.

Our liability is limited to the provision of a similar trip of equal value or a refund of the amount you paid to us, at our discretion. Claims for indirect or consequential loss, loss of profits, or other economic damages are excluded.

Optional Activities

Any optional activities not included in your trip price are not part of this contract, and participation in such activities is at your own risk.

Complaints and Claims

If you have any concerns during your trip, please notify your tour guide or our local representative immediately. If the issue cannot be resolved on the spot, you must submit your complaint to us in writing within 30 days of your tour’s conclusion.

Photos and Marketing

By participating in our trips, you grant us permission to use any images of you taken during the trip for promotional purposes. You provide us with a royalty-free, perpetual, worldwide license to use these images in any medium we choose for advertising and marketing purposes.

Privacy Policy

We respect your privacy. Any personal information collected during the booking process will be used solely for the operation of your trip and may be shared with our service providers to facilitate your travel arrangements.
